Many vehicles will be leased or hired to clients on a 28 day rolling contract.  When the first PCN is received you will need to add the agreement details in the normal way so you can process the PCN.  However, for subsequent PCN's Fleetworks has a really simple way to add agreement extensions to save you time.


To generate an extension view the agreement that you want to extend and scroll down to the bottom section of the screen. Assuming that you have not altered the original agreement, then simply click the Create 28 day extension button to generate the extension details. If you have altered the original then ensure you press save before you create the extension.


When you click to create the extension you will be taken to a new screen that is very similar to the Create New Agreement screen.  Fleetworks will automatically create the new agreement dates using the end date of the previous agreement as the start date for the new one. The new end date will be 28 days later. 

From here, add the new agreement number and upload a copy of the new agreement and press save.


If your client did not get a new PCN in consecutive agreements then you can still use the feature and just overwrite the start and end dates with the appropriate dates and press save. 


If you carried out a vehicle changeover during the hire then you can add another vehicle to the saved agreement by clicking in the Vehicles field and selecting the new registration number to add.
