Customer Importing

From the Create import screen download the Customer Template. 


You can technically creat a customer record with just one piece of data.  However, we suggest you complete a minimum of first name, surname and email address when adding a customer. With this minimum you can carry out a PCN reassignment and most follow up actions that accompany that process. If you wish to pass a client to a solicitor for any reason then completing their full address details is recommended.


Save the file tocreate the upload in Fleetworks.  


To start with we will add two clients with the same name. The client in line 2 has an email address and the client in line 3 does not. 




When we view the upload report we can see that the line 2 client is added but line 3 is rejected because Fleetworks considers this client to already exist because there is an exact name match. The email address is not used to identify a client uniquely because it is possible that two clients with the same name might both not have given an email address. in which case Fleetworks will use the Drivers Licence Number to differentiate between two clients with the same name.



If we now return to our original import file and give the second Joe Bloggs a different Licence Number then Fleetworks will accept the new Joe Bloggs is different to the first one and he will be safely added. When we view the Upload Report we will see he has be added and the first one is now rejected because he already exists. By viewing the Customer details and searching for them we can now see that we have two clients called Joe Bloggs.




So if you need to add a client with an perfectly matching name to a previous client you will need to add something to the Licence Number field to allow them to be added as a new client.
